The Lisbon Center is in place for more than 15 years and works in close partnership with consulting teams, software developers, business specialists as well as with WTW remaining Regional and Global centers.

Retirement, Health and Benefits, Corporate Risk and Broking, Outsourcing, Employee Experience, Enterprise Technology and Finance are some of the areas that the Lisbon Center works with. Retirement is one of the Lisbon Centers main businesses. Through our teams we provide actuarial, valuation and pension services and solutions and support for stakeholders and clients in Great Britain and Western Europe.

Join our team and help keep our Swiss operations running smoothly. In this varied role, you will provide administrative and organisational support to the entire Retirement team across Zurich, Lausanne and Geneva.

You will work closely with five Business Support colleagues in Zurich / Lausanne and two colleagues in Lisbon, supporting teams and leaders with day-to-day coordination, document preparation, meetings, events, internal processes and other business support activities. This position is available at 80-100% and is initially offered as a six-month fixed-term contract, with the possibility of permanent employment.

The Role

You will add value to the company by performing the following tasks:

• Monitor data quality across systems, identify missing or inconsistent information and coordinate corrections with the relevant colleagues and teams.

• Maintain and support business systems and tools, including Microsoft 365 applications (MS Dynamics, MS SharePoint), Oracle, FirstBroker and COMET).

• Act as a point of contact for system-related administrative queries and support colleagues with established processes, data maintenance and documentation requirements.

• Conducting regular training sessions, including refresher training and onboarding sessions for new joiners on various systems and processes.

• Prepare, review, format and update presentations, reports, correspondence and other documents in line with WTW guidelines.

• Coordinate internal and external meetings, workshops, training sessions and events, including invitations, rooms, materials and follow-up activities.

Qualifications

The Requirements

• Bachelor’s degree in Administration, or related discipline; experience in administrative support would also be a plus

• Fluent in English; proficiency in German and/or French considered a significant asset

• Excellent written and verbal communication skills

• Strong interpersonal skills to build relationships and collaborate effectively

• Ability to work independently and in an international team in a fast-paced, hybrid environment, committed to delivering quality

• Agile and resilient in a changing environment

• Quick leaner and service-oriented mindset

• Able to work in a focused manner with the flexibility to prioritize workload and requests
