Job Summary

The Document Controller is responsible for implementing, maintaining, and overseeing document control procedures for electrical engineering projects. This role ensures that all project documentation is accurate, traceable, compliant with company and client standards, and easily accessible to authorized personnel.

Key Responsibilities

Document Management & Control
Implement and maintain document control procedures and policies specific to electrical engineering projects. Ensure all documents comply with company standards, regulatory requirements, and industry best practices. Understand client documentation system requirements and support the design teams to establish the project documentation system during project initiation. Facilitate the efficient running and administration of the document management system.

Document Accuracy & Compliance
Coordinate with electrical design engineers, other departments, and external parties to ensure document accuracy, completeness, and compliance with the document management system. Conduct regular audits of documents and drawings to verify accuracy, completeness, and adherence to procedures. Maintain standard documents and templates for consistent use across projects.

Accessibility, Security & Reporting
Update, archive, and ensure accessibility of all documents in accordance with company policies. Generate and present reports on document status, revisions, and compliance to management.

Training & Support
Train staff on the document management system and related procedures. Assist project teams in organizing and developing databases of project documentation templates and examples.

Authorities

Document Approval & Issuance
Approve internal project documents, drawings, and revisions for release within the document management system. Issue controlled documents to internal teams, clients, and external stakeholders. Authorize updates, revisions, or withdrawal of outdated documents.

Audit & Compliance
Audit project documents and drawings to ensure compliance with company standards, client requirements, and regulatory guidelines. Verify accuracy, completeness, and proper classification of all controlled documents. Authorize corrective actions related to document discrepancies or non-compliance.

Reporting & Communication
Report document status, revisions, compliance issues, and audit findings to management. Communicate official document control requirements, updates, and procedures to project teams and stakeholders.

Guidance & Training
Provide guidance and training to project staff on proper document management practices, workflows, and system usage.

Education
Bachelor's degree in Management, Construction, Administration, or a related field.

Functional Knowledge and Skills
Familiarity with engineering deliverables. Good knowledge of SharePoint, Word, and Excel.

Experience Requirements
Experience in using document management software. Knowledge of Autodesk Construction Cloud (ACC) is a plus.
