Assistant to Management Board and Business Coverage (f/m/x)

Responsibilities

• Provide administrative support to the Business teams and Management Board Members of Deutsche Bank Portugal Branch.

• Proactively manage diaries – ensure that the board members are supplied with the appropriate documentation when attending meetings, video, and audio conference calls.

• Coordinate meetings and events, booking travel, submitting expenses, processing invoices and providing any necessary briefings in a timely manner.

• Prioritize emails, draft, review and send communications on behalf of company executives where necessary.

• Support business teams to complete any project work, prepare presentations and project documentations as required.

• Redirect to the relevant teams communications from supervisors and regulators and from clients.

• Coordinate Facilities Management Vendor and its respective allocated employees.

• Interact with various internal and external stakeholders.

• Demonstrated team player with excellent organizational skills and ability to anticipate needs

• Proven ability to solve problems proactively and pragmatically

• Ability to pay attention to detail

• Ability to work calmly and effectively, and sometimes in a fast paced and pressurized environment

• Knowledge of systems, and tools for booking travel, processing invoices and expenses is an advantage

• Good MS Office skills, especially in Power Point and Excel

• Fluent in Portuguese and English is mandatory. German and French would be considered an advantage
